The role

We are looking for a highly capable, experienced generalist to take over our Director Operations and Admin function. You will be the operational backbone of the firm — coordinating across teams, managing internal processes, handling client communication, and supporting the executive team. The right candidate thrives in a fast-moving environment, takes full ownership of their domain, and can navigate the complexity of a multi-entity, internationally oriented financial services firm.

Key responsibilities

Team coordination

Track tasks and performance across all employees; coordinate workstreams and ensure deadlines are met.

Client communication

Manage professional communication with UHNW clients, partners, and external service providers.

Legal case management

Support and coordinate ongoing legal matters in collaboration with internal and external counsel.

Compliance (optional)

Involvement in FINMA/VQF-related compliance processes, AML, and KYC workflows.

General operations

Day-to-day operational management; document handling, process ownership, vendor coordination, and executive support across multiple group entities.

Your profile

  • 5+ years of experience in a Director Operations, Head of Administration, Office Manager, or equivalent senior generalist role
  • Proven track record in a regulated financial services or professional services environment
  • Strong organizational skills — ability to manage multiple priorities and entities simultaneously
  • Experience in coordinating teams, tracking performance, and managing cross-functional tasks
  • Hands-on mentality: you execute, not just oversee
  • Professional-level client communication skills, written and verbal
  • Experience with legal documentation and case coordination [advantage]
  • Familiarity with FINMA/VQF compliance, AML, KYC [strong advantage]
